Finance management
  • Work related to the control of the community’s finances. Includes all work related with budgeting and payments received and making payments associated with the functioning of the community.
  • Drawing up annual budget and breakdown of income and expenses relating to each owner.
  • Proactive search for subsidies and any other means of reducing the monthly cost for owners, as well as the preparation and presentation of the necessary information and the corresponding organizations.
  • Proactive search for financing for the community to lessen the impact of incidental extra payments on the monthly quota, as well as the preparation and presentation of the necessary information in the corresponding entities.
  • Management of receipts for bills for collecting quotas.
  • Claim for unpaid bills and against owners in debt in such a way that the president and community governing bodies are not involved. If the community decides, we can initiate payment proceedings.
  • Paying community suppliers. In the event of works, the payments will be related, if the community decides, with the actual progress of the works.
  • Updating and making available to owners the community financial information.
  • Drawing up the financial year balance and state of accounts.

Management of administration and contracted personnel
  • Work related to the residents’ meetings, management of salaried employees and compliance with laws affecting the functioning of the community.
  • Carrying out the necessary procedures for the formation of a new community: creation of statutes, request for NIF, contracting supplies, contracting maintenance and everything necessary for the correct functioning of the community.
  • Calling General Meetings in the legally established periods and assistance in the capacity as secretary, as well as attendance with interpreter.
  • Drawing up and distribution of minutes to all owners in Castillian and English.
  • Sending out circulars or other kinds of communications to owners.
  • Issuing registered mail to owners.
  • Daily management of the community’s salaried personnel: salaries, social security holidays, replacements, applicable agreements, hiring and dismissals, working calendar, etc...
  • Carrying out necessary work in order to comply with workplace risks law.
  • Carrying out necessary work in order to comply with personal data protection law.
  • Custody of community’s archive documentation.

Technical management of service, maintenance and works
  • Work related to the management of the community services, the maintenance of communal property and the management of works or incidentals which the residents’ meeting decides to carry out.
  • Monitoring of all kinds of construction defects until they are rectified by the construction company in the first years of the community.
  • Constant check on the state of the services and maintenance, checking on suppliers to ensure quality and fulfillment of deadlines and quotes.
  • Monitoring and resolving of incidents or breakdowns which affect the functioning of the community and the comfort of owners.
  • Search for suppliers, creation of list of conditions in order to obtain comparable quotes and the presentation of information to the community governing body.
  • Drawing up and managing maintenance contracts for the community property and services as well as with service and works suppliers.
  • Administrative management of works with the corresponding authorities: licences, permits for works or activities, etc.
  • Management of swimming pools and recreation or sports areas: legalization, management of opening licences for the season, adaptation to current norms, rules on use and enjoyment, security and hygiene control, etc.
  • Contracting, according to community instructions, corresponding multi-risk insurance and processing of the corresponding supplies with the insurer.

Consultancy for owners
  • Work related to advice for governing organs (president, vice-president, spokespeople, etc.) and to the rest of the owners on everything related with the functioning of the community.
  • Advice to owners on everything related to the community and the applicable laws:
    • Statutes, community internal regime regulations, etc.
    • State of the community accounts and payment collections and payments.
    • The Horizontal Property Law and complementary regulations, Payment Protection Law, Workplace Prevention Law, etc.
